Pack 85 Committee Meeting12-4-11

 

Present:  Janna Arnold, Gary Barb, Chris Dellinger, Andy Gladfelter, Mark Johnson, Nathan Ott, Susan Sharp, Kelly Tetkoskie, Bill Troutman

 

Secretary’s Report:  Gary Barb stated that he has not received emails.  Susan Sharp will verify that she has the correct email address.

 

Treasurer’s Report:  Checking account balance:  $4,131.09, which includes all received fundraiser money.  Not sure of the current balance at the Scout store.  The Pack made approximately $300 in the popcorn fundraiser with 12 scouts participating.  There are still outstanding buyouts for both the popcorn and the pizza fundraisers.  Andy Gladfelter will send out reminder letters stating that the scouts are ineligible to receive awards without having met the requirements of the fundraisers.

 

Pizza Fundraiser:  The Pack sold $5,914 worth of product with a profit of $1,679.75 with 30 scouts participating.  Compared to the pizza fundraisers the last two times (which were held in January), the Pack sold less product in this most recent pizza fundraiser (by approximately $700).

 

Roller Skating:  46 skaters signed up.  The Pack will provide simple snacks and participants may bring their own drinks.  Chris Dellinger asked if the roller rink’s snack bar would be available to purchase drinks.  Susan Sharp contacted the roller rink and the snack bar can be opened to sell cold items (drinks, ices).  No hot food will be available.  Skaters can sign up until the last minute.  Susan Sharp will purchase snacks.

 

Winter Camp at Milton Grove:  January 14-15 12noonto 12noon.  Gary Barb is planning two presentations- therapy dogs/music beltloop.  Gary Barb will organize the sign up and the covered dish dinner.

 

Blue and Gold Banquet:  February 24, 2012.  Darrenkamps quoted $80 for 100 pieces of chicken (baked and fried, drumsticks/breast/thigh) and $1 per baked potato.  Kelly Tetkoskie estimated ordering 300 pieces of chicken for 200 people.  The Pack will provide baby greens salad with mandarin oranges and almonds, dinner rolls and desserts.  Darrenkamps will deliver and Hank Morrow will provide chafing dishes.  Cost is $5 per adult (children free) with sign up at the January Pack Meeting.  Program:  rank advancement for all scouts except Webelos 2.  Raffle with 10 items, no 50/50.  Kelly Tetkoskie is getting 11 patch blankets.

Rechartering:  needs to occur after the January Pack meeting but before the end of February.  A list of active members will be developed after registration in January (only those who reregister will be considered active).  Chris Dellinger will complete the rechartering with Andy Gladfelter as back up assistance.

 

            Mark Johnson will take over the treasurer position in January/February

 

            Awards chair- still not sure of transition plan

 

Website:  Gary Barb reported that he is able to make a “members only” section with a secure location needing passwords to access.

Pack 85 Committee Meeting 10-31-11

Treasurer’s Report:  Current checking account balance- $3423.04, which includes popcorn sales but not payment for popcorn.  Other activity includes:  $492 Camp Tuckahoe, $50 Mt. Gretna Roller Rink deposit, and $300 deposit for Coast Guard Cutter Tawney.

 

Secretary’s Report:  Contact Susan Sharp via email with any changes or corrections to the minutes.

 

Camp Tuckahoe:  38 registered overnight attendees- which is less than previous years.  Andy Gladfelter has the tour permit from BSA and will be emailing final details to those registered.  Saturday supper will be spaghetti and salad; Sunday breakfast will be cereal.  Chris Dellinger and Kelly Tetkoskie will work together to purchase items needed for meals and snacks.

 

Question regarding tour permit.  Clarification was asked (for the benefit of new committee members) regarding the tour permit.  The tour permit is paperwork filed with BSA when a pack activity takes place outside of the usual meeting place.  Chris Dellinger stated that at a training session, he heard that the permit requirements were streamlined and are only required for activities that take place outside of the home district or council.  Andy Gladfelter followed up on this and reports, “I believe this is latest guidance on tour permits, taken from a link on council homepage. As far as I can tell, the only things the pack does that would require one are things like Tuckahoe and Roger Taney battleship. Our other activities are pretty much exempt from what I can see. If individual dens go outside of Lancaster and Lebanon counties, they should get a tour permit also.”

 

Popcorn Fundraiser:  Andy Gladfelter will send reminders to those who did not submit the $30 pay out.  Tony Kern reported that the Pack sold about $1100 in product.

 

November Pack Meeting

 

            Opening:  Den 6

 

            Skit:  Den 7

 

            Closing:  Den 2

 

            Activity:  work on Christmas parade costumes (scouts should bring crayons)

 

            Sign-ups:  Roller skating party, pizza fundraiser

 

Christmas Parade:  December 2.  Theme is “Holidays Around the World.”  Chris Dellinger will borrow international flags from his church.  Each den will have a flag (to be carried by an adult).  Cub Scouts will carry cardboard signs showing the name of the country represented by the flag and the words “Merry Christmas” or “Happy Holidays” written in the language of the country.  Either Chris Dellinger or Tony Kern will get cardboard for the signs.

 

Roller Skating Party:  December 14, 6-8pm at Mount Gretna Roller Rink.  Susan Sharp will have a sign up sheet for the November Pack Meeting.  Payment for the party will be due at that time.  Cost will be $5 per skater with a maximum output per family of $15.  Skate rental, if needed is $2.  Non-skaters will be free.  Party will be for Pack 85 scouts and their families.  Scouts are welcome to invite a friend.  Pack will provide snacks (pretzels, chips, etc) and attendees will bring their own drinks.  We need 32 skaters to break even.  Any money earned over expenses will be a fund raiser for the Pack.

 

Scouting for Food:  Bag distribution 9am on Nov 12, bag collection 9am on Nov 19.  Kellie Tetkoskie and Tony Kern will bring that bags.  Scouts should wear their “Class A” uniforms.

 

Committee Positions:  we are still in need of volunteers for several positionsl

 

Advancement Chair:  Chris Fulvio will volunteer for this position, but cannot attend Sunday meetings.

 

Fundraising:  Stephanie Sampson and Hank Morrow offered to take this position if no one else volunteers.

 

Friend of Scouting:  still need volunteer

 

Membership:  still need volunteer

 

Assistant Den Leaders for Den 7 (Wolf) and both Tiger Dens

 

Summertime Award:  Kellie Tetkoskie provided clarification regarding these two different awards.  The summertime pin is given to scouts who participate in three activities over the summer.  The Outdoor patch is earned the first year it is earned (requirements are different based on rank).  Each subsequent year is given a pin.  Information is available on-line.

 

Roger B. Tawney:  $300 non-refundable deposit was paid.  Will need to have 44 attendees minimum- can open up to other units.  Sign-up should be 2-3 months ahead.  Tony Kern to follow-up with more details.

 

Blue and Gold Banquet:  Scott Gregory proposed looking into chicken dinners from Darrenkamps.  Scott and Kellie Tetkoskie will follow up with this.  Hank Morrow has chafing dishes that he will loan for the event.

 Introductions of new committee members

 

Approval of Minutes:  many committee members could not open the September minutes.  Minutes will now be in the email and not as an attachment.

 

Treasurer’s Report:  Checking account balance - $960.79; Scout store account - $848.04.  Activity since last meeting:  $700 added to Scout store account (included in above number), $270 to reserve Camp Tuckahoe for Nov 4-6, 2011 family camp.

 

Website:  Gary Barb redid the Pack 85 site so that it will be easier to add information.  Gary also added links to other sites.  If anyone has pictures or information for a “History” section- forward to Gary.  Question regarding whether the individual dens want to keep their pages.   There was extensive discussion regarding privacy issues on the website.  Do we need photo release forms to cover those in the photographs to be added to the site?  Is there a desire to add phone numbers/email addresses for leaders on the site?  Gary can set up unique email addresses for leaders that can then have messages forwarded to home email addresses.  Could a “members only” section be added that would require a password to access phone numbers, etc?

 

T-shirts for new cubs:  Chris Dellinger will visit dens to distribute to those who missed getting them at sign up.  T-shirts are only for cubs who signed up in first two weeks of September.

 

Church keys:  Andy Gladfelter has 2 extra sets.  Nathan Ott, Stephanie Sampson, and Dan Schaffer/Vinnie Brumbach also have sets.

 

Church usage:  Dens 2 and 6 will now meet upstairs at St. Paul’s Church.  Den 9 will meet in the Scout room.  We are still in need of space for the Tigers and Wolves, as we are no longer able to use the large Sunday School room.

 

·        PLEASE NOTE:  When using the church facilities:  if you move it- put it back, if you turn it on- turn it off, etc.  Also, please check bathrooms after meetings are over.

 

 Andy Gladfelter volunteered to contact GEARS to see about using Mill Road facilities for den meetings.   This item is Tabled until the actual need is determined.

 

Cub-O-Rama:  23 cubs and 23 adults are registered.  If arriving Friday night, get there before dark to set up your campsite.  Andy Gladfelter will send a follow-up email to those registered.

 

Pack Meetings:  It worked well at the September pack meeting to have people arrive early to sign up for events.  We will continue to do this.

Camp Tuckahoe:  confirmed for November 4-6, 2011.  Cost is $13 per person, which includes cabin, campsite, snacks, Saturday supper and Sunday breakfast.  Andy Gladfelter will get tour permits for Gettysburg, Kelly Tetkoskie will get the paper products, and Chris Dellinger will get the groceries.  More information about Camp Tuckahoe and the Gettysburg patches is at the New Birth of Freedom Council website.

 

Pack 85 T-shirts:  Hank Morrow volunteered to be available to sell the Pack 85 T-shirts at pack meetings.  They sell for $6.

 

Uniform bank:  just a reminder that there is a uniform bank available. 

 

Scouting for Food:  will be Saturday November 12 and 19 at 9am.  Meet at the church.

 

Roller Skating:  confirmed for December 14, 6-8pm at Mt Gretna Roller Rink.  This will be a private party open to cubs and their families/friends.  Susan Sharp will prepare a plan for having a light evening meal.

 

Committee positions:  we are still in need of a Membership Chair, Friends of Scouting Chair, and three more assistant den leaders.

 

Training opportunities:  make sure that you are up-to-date.  CD available for committee positions only.

 

Andy Gladfelter is working towards his Wood Badge.  As part of this, he will be presenting a program on Diversity.

 

Tiger and Wolf Dens:  Discussion on the large size of these dens and how best to meet the needs of the cubs and leaders.

 

    Tiger:  Jason Billings is the Tiger Den Leader with Erik Stroup as Assistant Leader.  There is a need for an additional Leader/Assistant so that there can be two smaller dens.  Erik agreed to take on the second Leader position (thank you Erik!), so we are now needing two Assistant leaders.  Jason Billings will lead Den 1 and Erik Stroup will lead Den 3.

 

    Wolf:  There are now 21 boys in the Wolf den.  While Nathan Ott has stated his desire to maintain one den with increased parent involvement, the committee felt that it was better for the boys and the leadership to split into two dens.  Committee confirmed that Nathan has done a great job at leading this large den over the past year.  Mark Johnson agreed to be the second Wolf Den Leader (thank you Mark!).  Nathan Ott will continue to lead Den 7 and Mark Johnson will lead Den 5.  Chris Dellinger said that he will talk with Nathan regarding the transition to two dens.

 

Christmas parade:  December 2 - still waiting on the theme.

 

Two people have stated an interest in helping with positions along with Chris Fulvio:  Bill Troutman’s mother offered to help with awards and Stephanie Sampson offered to help with fundraising.

     

 

Next Meeting:  October 30 at 7pm at Andy Gladfelter’s house.

 

 

 

May 2011 Committee Meeting Minutes:

Treasurer--Checking account balance is 1974.39.  Scout store balance is 363.33.  All camp payments have been received from Cubs and sent to Council. Informed by council of outstanding training due for a few of our leaders--they have been notified. Please e-mail Heather all awards that were missed or owed from last pack meeting.  Deadline is Wednesday. Bowling party on 5/24 at 6:30 at Clearview.  Heather is to contact Andy with prices.  Tony is to give out coupons for Hoss's fund raiser. Meet for Memorial Day parade at 9:30 at E-town American Legion on Monday, 5/30.  Creek cleanup afterwards/ bring old clothes and trash bags. Cub Resident camp on 6/20 to 6/22.  Andy to send roster to Stephanie. Looking to fill committee positions.  Chris to request help from some of the parents in his den.  Andy to send position descriptions to him. Info sent to pack for Barnstormers game in latest CuboGram. 3 Cubs will attend Camporee on 5/14 in Lebanon. Annual planning meeting on Tuesday, 7/26 at Andy's house.  Will need council calendar for this. All interested parents should attend to plan events for the coming year. Swim party on 8/2 at Willowood Swim Club.  Andy to make reservations. Pack website has been recently updated by webmaster Gary.  Check it out at cubpack85.org Kelly will lead a bike hike at 6:30 pm on Wed. , 6/29, meeting at Riverview Park in Marietta.  Turn right at square in Maytown and go straight, crossing 441 until you get to the park at the river.  There will be a treat afterwards. Looking for parents to organize other summer events for belt loops, etc. Tony organizing game night in July--date to be announced. 

 

 

 

 

    Minutes From March & April 2011 -

 

  • Treasurer Report:  $2800 in checking.  All Blue and Gold bills paid.  Approximately $600 in Scout account for awards, etc.  $1403.50 of this amount available as credits to boys for summer camp. 
  • It was decided at the March committee meeting that, to keep fund raising requirements from becoming onerous, the pack should start charging the Cub Scouts for most events, rather than past practice of having just parents and siblings pay for events.
  • Balances due for summer camp and amount of credit available from sandwich sale will be sent out by Andy prior to the 4/26 pack meeting.  He will collect money at that meeting, and also collect as many medical forms as possible.  We have 15 attending Resident camp from 6/20-6/22 and 10 attending Webelos camp from 7/17-7/22. 
  • Pinewood Derby wrap-up-- it was recommended that next year the boys should vote for 2 cars each for the best of show, one for den and one for pack, and they should not vote for their own.
  • Top 3 finishers and top 3 in best of show were invited to District Derby--only Jake Vandermey has signed up as interested.  4th place in speed being invited as substitute by Dan Schaffer.  Janna to mail the check this week.
  • Indian Echo signups are due on 4/5 to Stephanie for the event taking place on 4/16.  $8 for adults and $4 for children, including Cub Scouts
  • Heather has reserved Clearview Lanes for 5/24 for bowling--we can decide exact time at next committee meeting--suggest 6:30.  Cubs will pay also.  Signups at April pack meeting on 4/26.
  • Den leaders should submit requests for awards for April pack meeting to Heather by Wednesday, 4/20.  It was noted that Advancement sheets are now required only for ranks and Arrow of Light--not for other loops and pins.  Den 4 to do opening, Den 6 to do skit or song.  Den 2 to do closing.
  • There will be a short meeting for parents of boys attending camp on Tuesday, 5/17 at 7:00 at the church.  This is especially for parents of boys who have never attended camp before.
  • Memorial Day parade on Monday, 5/30.  Meet at 9:30 at American Legion in uniform to march with flags.  We may need to buy a few more small flags by then. Park cleanup service project along creek to follow--may want to bring old clothes or sneakers for that.  
  • Barnstormers signup info was sent out with April CuboGram.  You can choose either one 6/24 or 8/12.  Sign up on your own.
  • Future Committee position openings were discussed:  Chairman, Treasurer, Publicity, possible Secretary, possible Fundraising chair and possible Friends of Scouting chair.  We have two interested parties so far that have come forward.
  • Tony volunteered to arrange for Hoss's fundraiser--distribute coupons at pack meeting.  Rita's fundraiser also discussed.
  • Swim party tentatively scheduled for Tuesday, 8/2 at 5:00 at Willowood.  Andy to reserve the date.
  • Annual planning meeting scheduled for Tuesday, 7/26 at Andy's house.
  • Pack Website has been changed and is being gradually updated by Gary Barb--it does have current events on it.  Please check it out at cubpack85.org . The pack will pay an annual fee for it.
  • Kelly will organize a bike hike in June. Date to be announced next month.  Tony to organize a game night this summer also.
  • Troop 53 from Donegal Presbyterian Church has volunteered to help with summer events.  Andy will let them know the dates for these.
  • Heather and Kelly working on ideas for next year's Blue and gold banquet--discussing patch blankets and caterers. 
  • Decided not to have a yearly theme for next program year, but will work on using recommended monthly themes.
  • Next committee meeting on Sunday, 5/8 at 7:00 at Andy's house.
